MALAYSIA AUTOSHOW 2025 – GENERAL TERMS & CONDITIONS OF ENTRY AND PARTICIPATION
Welcome to the Malaysia Autoshow 2025 (“the Event”). We are excited to have you onboard, whether you are a guest, exhibitor, vendor, crew, media, sponsor, volunteer or partner. This is a massive event, and to make sure everything runs safely and smoothly, here are some important terms and conditions that apply to everyone involved.
By attending, participating in, or being part of the Event in any way either physically or digitally, you are agreeing to the following:
- Application of Terms
1.1 These Terms and Conditions (“Terms”) apply to all persons entering or participating in the Event, including without limitation: visitors, exhibitors, vendors, contractors, sponsors, staff, volunteers, service providers, media representatives, and invited guests (“Participants”).
1.2 By attending or engaging with the Event in any capacity, each Participant agrees to be bound by these Terms, and acknowledges that they form a legally binding agreement between the Participant and the Organizer.
- Admission and Access
2.1 Admission to the Event premises is subject to registration, identification, and any additional procedures and terms imposed by the Organizer.
2.2 The Organizer reserves the right to deny or revoke access to any person at its sole discretion, including for reasons relating to safety, security, conduct, or operational integrity.
2.3 Children below the age of 18 must be always accompanied by a responsible adult.
- Participation at Own Risk
3.1 All Participants acknowledge that attendance and engagement in the Event are entirely voluntary and undertaken at their sole risk.
3.2 The Organizer disclaims any duty of care or liability beyond statutory obligations. All individuals must exercise personal responsibility and vigilance, particularly around machinery, vehicles, displays, exhibition materials, and large crowds.
- Exclusion of Liability
To the fullest extent permitted by law:
4.1 The Organizer, its affiliates, directors, officers, employees, agents, sponsors, partners, and contractors shall not be held liable for any injury, illness, accident, death, loss, or damage to person or property, whether direct or indirect, sustained by any Participant during or in connection with the Event.
4.2 The Organizer shall not be liable for any business interruption, financial loss, reputational harm, or consequential damages resulting from participation, cancellation, or changes to the Event.
4.3 The Organizer accepts no liability for the acts, omissions, or misconduct of third parties including exhibitors, vendors, suppliers, contractors, or attendees.
- Indemnification
5.1 Each Participant agrees to fully indemnify, defend, and hold harmless the Organizer and its affiliates from and against any and all claims, liabilities, losses, damages, costs, or expenses (including legal fees) arising out of:
5.1.1 Their actions, omissions, or negligence;
5.1.2 Any breach of these Terms; or
5.1.3 Any harm caused to persons, property, or the reputation of the Event.
5.2 This indemnity shall survive the conclusion of the Event.
- Force Majeure
6.1 The Organizer shall not be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to: natural disasters, public health emergencies, government regulations, civil unrest, acts of terrorism, technical disruptions, or any other force majeure event.
6.2 In such cases, the Organizer reserves the right to cancel, postpone, reschedule, or modify the Event without liability.
- Conduct and Prohibited Acts
7.1 All Participants shall conduct themselves in a respectful, lawful, and professional manner.
7.2 The following activities are strictly prohibited unless expressly approved in writing:
7.2.1 Unauthorized commercial sales, promotions, or marketing;
7.2.2 Disruptive, abusive, or threatening behaviour;
7.2.3 Use of prohibited items (e.g. weapons, fireworks, illegal substances);
7.2.4 Political campaigning or unauthorised signage.
7.4 The Organizer reserves the right to remove any person for violations without refund or recourse.
- Photography, Filming and Media Use
8.1 The Organizer may record, photograph, or film the Event and its Participants. By entering the Event premises, Participants grant the Organizer a perpetual, royalty-free, and worldwide licence to use such images or recordings for promotional, commercial, or archival purposes without further notice or compensation.
- Intellectual Property Rights
9.1 All intellectual property relating to the Event, including but not limited to logos, branding, programme content, signage, and digital assets, shall remain the exclusive property of the Organizer or its licensors.
9.2 No reproduction, distribution, or unauthorised use of such materials is permitted.
- Digital Platforms and Application Usage
10.1 Certain features and activities within the Event may require use of the MASA application.
10.2 The Organizer shall not be liable for any technical issues, loss of access, or compatibility problems associated with third-party devices or internet providers.
10.3 App users agree to the MASA App’s separate Terms of Use and Privacy Policy.
- Data Protection and Privacy
11.1 All personal data collected for or during the Event will be processed in accordance with the Personal Data Protection Act 2010 (PDPA).
11.2 By attending or registering for the Event, Participants consent to the use of their personal data for purposes including, but not limited to:
- Access control and security;
- Event communications and administration;
- Analytics and operational planning;
- Post-event updates and marketing.
11.3 Participants may contact the Organizer to withdraw consent or request access to their data, subject to applicable law.
- Governing Law and Jurisdiction
12.1 These Terms shall be governed in accordance with the laws of Malaysia.
12.2 Any dispute arising from or in connection with the Event shall be subject to the exclusive jurisdiction of the courts of Malaysia.
